Privacy Policy

Senvvo ("we," "our," or "us") operates the Senvvo platform at senvvo.care and app.senvvo.care. This Privacy Policy explains how we collect, use, and protect information when practices and parents use our services.

1. Who We Are

Senvvo provides analytics and engagement tools for pediatric therapy practices. We are not a healthcare provider, insurer, or covered entity under HIPAA. Practices that use Senvvo remain responsible for their own HIPAA compliance obligations.

2. Information We Collect

From practice managers (dashboard users):

  • Name and email address (for account creation)
  • Practice name and branding assets (logo, color)
  • Configuration preferences (assistant name, screener settings)

From parents completing the screener:

  • Name, email address, and optional phone number submitted via the contact form
  • Yes/No responses to developmental screening questions
  • Child's age range (selected at start of screener)
We do NOT collect
  • Child names or dates of birth
  • Medical records or diagnoses
  • Insurance or payment information from parents
  • Any information that constitutes Protected Health Information (PHI) as defined under HIPAA

3. How We Use Information

Parent contact information

Parent names, email addresses, and phone numbers are used solely to send screener results to the parent and notify the practice of a completed screening. This information is transmitted via email and is NOT stored in our database after the email is sent. The practice receives this information directly and is responsible for how they store or use it.

Screener responses

Individual question responses are used only to generate the results shown to the parent and included in the practice notification email. Responses are not stored in identifiable form. We store only aggregated, de-identified domain scores (e.g., "3 of 6 milestones met in Gross Motor") linked to an age range — never to a name or identity.

Practice analytics

Aggregated, anonymized screener data is used to provide practices with population-level insights (e.g., most common concern domains, screening volumes by age range). No individual parent or child can be identified from this data.

Chat assistant

Chat conversations are processed to generate responses and log anonymized session events (conversation started, message sent, contact requested). Message content is not stored. Session data is linked to a random session ID, not to any personal identity.

4. Children's Privacy (COPPA)

Our screener collects information from parents about their children. We do not knowingly collect personal information directly from children under 13. The screener is completed by a parent or guardian on behalf of their child. We do not store children's names, birthdates, or any directly identifiable information about children.

5. Data Sharing

We do not sell personal information. We do not share parent contact information with any third party other than the practice whose screener the parent completed. We use the following service providers who may process data on our behalf:

  • Supabase (database and authentication) — supabase.com
  • Resend (transactional email delivery) — resend.com
  • Vercel (hosting and infrastructure) — vercel.com

Each of these providers maintains appropriate data security measures.

6. Data Retention

Parent contact information (name, email, phone): transmitted via email and not retained in our systems beyond the immediate transaction.

Screener results links: expire after 48 hours.

Anonymized analytics data: retained indefinitely to provide practices with historical trend data.

Practice account data: retained for the duration of the practice's subscription and deleted within 30 days of account termination upon request.

7. Security

We implement industry-standard security measures including:

  • Encrypted data transmission (HTTPS/TLS)
  • Tokenized, expiring results links
  • Role-based access controls
  • No persistent storage of parent contact information

8. Your Rights

Parents who have completed a screener may contact us at hello@senvvo.care to request information about what data we hold related to their submission. Because we do not store names or email addresses after the initial transaction, we may be unable to locate records associated with a specific individual.

9. Changes to This Policy

We may update this policy periodically. We will notify practices of material changes via email. Continued use of the platform after changes constitutes acceptance.
